How It Works in Practice
Let’s imagine your organization runs maintenance and inspection crews across several sites.
You create a Workspace named Operations and Field Service.
Inside, you set up a Space called Crew Planning – Q4.
Now, you define your weekly or daily structure — for instance:
- Cards for each crew and week:
“Crew A – Week 42,” “Crew B – Week 42,” etc. - Each card contains the assigned crew members, their planned shifts, and work sites.
- Supervisors attach daily task lists, safety documents, or maps directly inside the card.
- If a person is reassigned, KanBo updates workload views automatically.
Workload View gives planners an overview of each person’s total assignments and availability.
If someone is overbooked or underutilized, the view highlights it immediately.
Calendar View allows quick visualization of who is working when and where, providing a familiar, yet dynamic timeline.
Supervisors update status changes directly from the field (via desktop or mobile app), marking shifts as completed or reporting incidents, all of which are logged automatically in the Activity Stream.
