Roles and Permissions
System and Functional Roles
KanBo provides 11 administrative and configuration roles that define access to high-level system capabilities.
These roles are typically assigned by administrators or security officers.

| Global Settings | Grants access to organization-wide KanBo settings and preferences. | Configure platform-wide parameters, change template order, manage core settings. |
| Roles Assignment | Manages KanBo roles and user permissions across the system. | Assign or remove roles, review role ownership. |
| Setup | Controls environment setup and integrations. | Refresh license status, configure Elastic Search, manage sync targets and plugin forms. |
| Create KanBo Users | Adds new users and manages initial access. | OnSpace new employees into KanBo. |
| Licenses | Controls user license activation and deactivation. | Manage Business, Enterprise, or Strategic licenses. |
| Groups | Manages KanBo user groups. | Add, rename, or organize teams into groups. |
| Space Migration | Moves Spaces between Workspaces. | Reorganize projects while maintaining data integrity. |
| Public | Sets visibility of Spaces and Workspaces. | Mark areas as public or restricted. |
| Templates | Creates and manages Space Templates. | Design reusable Space structures and import from Microsoft Planner. |
| Document Sources | Connects and maintains document repositories. | Add or repair document sources (e.g., SharePoint). |
| Create Workspaces | Allows the creation of new Workspaces within KanBo. | Enable department-level Workspaces under governance policy. |
These roles provide fine-grained control over how KanBo operates at the platform level, enabling large enterprises to distribute system responsibilities without compromising security.
